Greeter & Welcomer - In-person

Position Description: 


Be the first smile someone sees. 


As a Greeter & Welcomer, your presence helps set a warm, peaceful tone for all who attend. 


You'll warmly greet participants, offer guidance to new visitors, and answer basic questions (e.g., where to place shoes, where the bathroom is, where to sit).


Volunteers in this role must arrive at least 10 minutes before the event to ensure they are grounded, present, and ready to welcome others with calm and kindness.


This role is ideal for someone:

  • Friendly, compassionate, and attentive
     
  • Comfortable with light conversation and clear communication
     
  • Willing to help create a space of inclusion and respect
     
  • Able to gently remind attendees of practical things (e.g., mobile phones on silent)
     

You'll also work alongside the facilitator or space coordinator to help note late arrivals and maintain a sense of gentle order.

Space Setup & Packdown - In-person

Position Description:


Create a sacred and supportive environment. 


Volunteers in this role help prepare the meditation and teaching space before each session and assist with mindful clean-up afterwards.

Tasks may include:

  • Arranging meditation cushions and chairs
     
  • Preparing the altar (offerings, incense, water bowls)
     
  • Setting up signage, lighting, and setting room temperature.
     
  • Ensuring the space is clean, safe, and welcoming
     
  • Packing down and tidying shared areas post-session
     

You’ll need to arrive 15–20 minutes before the event and remain for 10–15 minutes afterwards. Some light lifting may be involved, but accommodations can be made.

Position Description:


Offer warmth through simple acts of care.


As a Hospitality Assistant, you’ll prepare tea and light refreshments before or after the session, helping everyone feel welcomed and nourished.

Your duties may include:

  • Setting up the tea station
     
  • Boiling water, arranging cups and herbal teas
     
  • Tidying up the refreshment area
     
  • Keeping an eye on supplies and replenishing as needed

You’ll work closely with the communications lead (Jen) to ensure content is thoughtfully presented and scheduled consistently.

  • Draft captions for posts and stories in a warm, respectful, and inclusive tone
     
  • Design visually cohesive posts using Canva templates or brand elements
     
  • Schedule and post content through Meta Business Suite (Facebook & Instagram)

  • Maintain an organized content calendar to track post timing and campaign focus
     
  • Ensure consistent use of hashtags, emojis, and tagged collaborators

Bring clarity and inclusivity to the Dharma, one word at a time.


The Video Captions Editor plays a vital role in helping our online Dharma offerings become more accessible to everyone—especially those with hearing difficulties, different learning needs, or for whom English is a second language.


By carefully editing and syncing captions, you ensure that the depth, tone, and integrity of the teachings are preserved in written form. 


You’ll be working primarily within Canva’s video editing suite, where captions are automatically added and timed to match audio from recorded Dharma talks, short teachings, or promotional content.

  • Watch Dharma videos closely and attentively
     
  • Add, edit and sync caption text within Canva’s video editor
     
  • Ensure accuracy in spelling, punctuation, grammar, and phrasing

  • Good eye for brevity and impact
    → Can spot a powerful phrase or insight that stands alone while preserving the teacher’s intention.
     
  • Comfortable working with transcripts or video/audio
    → Willing to listen carefully or read through teachings, even when a bit long, to find the golden lines.
     
  • Familiarity with Notion for content entry
    → Able to input quotes clearly into a database, use tags, and track quote usage or sources.
     
  • Trustworthy with sacred content
    → Handles Dharma passages with care, humility, and the motivation to benefit others.
     

🕰️ Time Commitment

Resource Librarian / Dharma Archivist

Preserve and organise the Dharma with clarity and care.


🧘‍♀️ Key Responsibilities

  • Organise and label digital files in Google Drive
    → Sort existing materials—such as recorded teachings, PDFs, transcripts, images, and resources—into clearly structured folders with intuitive naming conventions.
     
  • Upload and tag resources in Notion
    → Support the team by adding teaching summaries, links to files, and tags in a shared Notion database, ensuring everything is searchable and easy to access.
     
  • Manage a digital archive of events and teachings
    → Help build a library of past events, categorised by teacher, theme, and date. Cross-reference files in both Google Drive and Notion to keep everything aligned.
     
  • Assist in building themed resource libraries
    → Group teachings and resources by topic (e.g., compassion, meditation, refuge) to support future course creation or community learning.
     
  • Track and maintain version control
    → Ensure that the most updated versions of documents, transcripts, or handouts are saved and that outdated duplicates are archived or removed.

    → Enjoys sorting, tidying, and creating systems that make sense for everyone; finds satisfaction in clarity and structure.

Mailing List & Newsletter Assistant

Position Description:


Keep the community informed with kindness, clarity, and care.


🧘‍♀️ Key Responsibilities

  • Format and prepare monthly newsletters
    → Use platforms like Mailchimp to lay out announcements, event reminders, Dharma reflections, and updates in a visually clear and inviting format.
     
  • Draft or edit newsletter copy
    → Support the writing or refining of gentle, accessible copy that reflects the Institute’s voice—compassionate, non-commercial, and clear.
     
  • Check links, dates, and content accuracy
    → Ensure that all event links work properly, dates are current, and all listed offerings match what’s on the website or Notion calendar.
     
  • Coordinate with the Communications Lead (Jen)
    → Review timing, topics, seasonal themes, and community messages together, then implement edits and scheduling as needed.
     
  • Archive past newsletters in Notion
    → Upload or link sent newsletters into a shared Notion archive, categorised by date and theme for future reference or content reuse.
     

🎨 Skills & Qualities

  • Familiarity with Mailchimp, or similar tools
    → Confident using email campaign builders, inserting images and buttons, and adjusting layouts for mobile and desktop views.
     
  • Strong proofreading and copy-editing ability
    → Able to catch typos, spot tone shifts, and clean up formatting without over-editing the heart of the message.
     
  • Creative and design-sensitive
    → Enjoys selecting simple visuals (e.g. Canva banners, peaceful imagery), arranging spacing and typography for clarity and flow.
     
  • Collaborative but independent
    → Can work alone on drafts while staying in regular communication with Jen or the team to keep things aligned.
     
  • Comfortable using Notion for task tracking and content archiving
    → Will update progress, link newsletters, and track scheduling in the shared workspace.
     

🕰️ Time Commitment

  • 2–3 hours per month
     
  • Mostly asynchronous with optional collaboration sessions
     
  • Monthly Zoom meeting encouraged to align on messaging and timelines with the broader team
